Development Coordinator, Gift & Estate Planning

14-Month Maternity Leave Contract, Full-time

About the Opportunity:

 

Reporting to the Director, Estates & Trusts, the Development Coordinator provides a variety of functions including administrative support for the department, planning and coordinating the implementation of assigned projects as well as managing data.

Key responsibilities of this role will include:

  • Providing administrative support to Gift & Estate Planning team on all aspects of administration of gifts made through estates, trusts, registered accounts, annuities and life insurance policies
  • Creating a meaningful experience for Gift & Estate Planning donors, loved ones and advisors while interacting with them, most commonly via email and over the phone, to receive donations, verify information, and answer inquiries
  • Coordinating and booking internal and external meetings ensuring appropriate arrangements including booking meeting facilities, and ensuring all logistics are carried out for meetings including taking minutes as required
  • Drafting correspondence and preparing or coordinating the preparation of various reports and briefing documents as required
  • Entering and maintaining information related to Gift and Estate Planning donors, loved ones and advisors using the Foundation’s customer relationship management system, Raiser’s Edge
  • Creating and maintaining a variety of reports and queries on behalf of the department, and ensuring that electronic files/database user manuals are accurate and current.
  • Supporting Gift & Estate Planning donor, loved one and advisor stewardship and cultivation events
  • Providing backup support for basic estate administration tasks
  • Preparing expense claims forms and verifying monthly credit card and other charges for payment authorization

Qualifications

  • Three years recent related experience, preferably in a planned giving and/or fundraising environment or an equivalent combination of education, training and experience
  • Experience with databases would be advantageous as this role works with a number of specialized software programs and databases (Raiser’s Edge, RE NXT, PaperSave)

Core Knowledge + Skills:

  • Demonstrated strong project coordination and implementation, administrative, organizational and time management skills;
  • Ability to work in a fast-paced and rapidly changing environment
  • Demonstrated ability to work independently and take initiative, when required
  • Ability to work with a varied group of stakeholders and interact with donors using tact, diplomacy and discretion
  • Ability to deliver exceptional service;
  • Computer skills: demonstrated advanced competence in computer software such as Microsoft Office Suite (i.e. Word, Excel and Outlook) and intermediate experience with Raiser’s Edge or another customer relationship management system
  • Excellent written and verbal communication skills as well as attention to detail;
  • Ability to balance changing workload expectations and to work effectively under pressure, with frequent interruptions;

Salary Range: $50,000 - $61,000

  • 4 weeks’ vacation plus office closure between Christmas Eve and New Years, as well as half days office closures before each statutory holiday
